Secret 10: Use Styles to Structure Documents

We all want pretty documents but sometimes, especially with long documents, the process is tedious and slow. Isn’t there a better way? Styles super hero to the rescue! Secret 10 will give you super human strength for the toughest 200 page document you ever have to handle.

What are Styles?

Styles help to do simple and complex formatting. They apply many attributes at once, instead of applying each one individually. You can apply your styles to your documents in just a few clicks.

Types of Styles

There are four types of styles available in Word.

  1. Paragraph styles
  2. Character styles
  3. List styles
  4. Table styles

Applying Styles

To apply styles to your document, follow these steps:

Select Format > Styles and Formatting...

The Styles and Formatting task pane will open.

Select the text you want to apply formatting to.

Find the type of style you want to apply from the Pick formatting to apply list and click on that formatting style.

Creating a New Style

To create a new style, follow these steps:

Click New Styles in the Styles and Formatting task pane.

The New Style dialog box will appear.

Give the style a unique name and select its style type from the Style Type list box.

Select the details for your style then click the OK button.

Your new style is listed in the Pick formatting to apply list on the Styles and Formatting task pane.

Editing Existing Styles

To edit an existing style, follow these steps:

Click the down pointing arrow next to the style and select Modify Style...

The Modify Style dialog box will appear.

Make the changes to the style attributes and click OK to apply the changes.

Any changes to a style will alter the appearance of all elements that have that style applied to them.
